Full Job Description

The Volunteer Coordinator is required to promote and recruit volunteers, ensuring an adequate supply of volunteers are available to meet the needs of each of Age UK Hull and East Yorkshire services.

The Volunteer Coordinator will work closely with the coordinators and managers across our services in order to develop volunteer processes and engagement. The Volunteer Coordinator will take an active involvement in volunteer promotion and networking.

Main Duties & Responsibilities:

  • Provide ongoing support to all staff in relation to volunteer recruitment and training


  • Promote and champion the role of volunteers, both internally and externally, so that they feel respected and valued for their contribution to the organisation.


  • Create and distribute regular communications with all organisational volunteer updates and training opportunities.


  • Work effectively with the Befriending Co-Ordinator in the coordination of volunteer recruitment, induction, training and management.


  • Ensure volunteer processes and procedures are updated and produced as required.


  • Develop and deliver volunteer recruitment campaigns across the region, including having an involvement in producing and distributing promotional material, attending local events and coordinating the recruitment process.


  • Ensure that the organisation's volunteering webpage is regularly updated with promotional information for attracting volunteers.


  • Include the use of social media and other forms of advertising online for recruiting and promoting volunteers.


  • Develop and maintain links with external organisations.


  • Develop and run group interview / information sessions / open days or evenings for potential volunteers to assist with volunteer recruitment.


  • Monitor and collate monthly volunteering figures according to KPI's, providing reports to the Management Team.


  • Advise and support staff on volunteer related issues, raising these with the management team where necessary.


  • Have an active involvement in volunteer's week celebrations and other forms of volunteer events taking place throughout the year.


  • Maintain volunteer recognition and regular supervisions with volunteers.


  • Ensure all mandatory training is regularly refreshed and up to date by all volunteers.


  • Have an active involvement in considering and designing volunteering roles within the organisation.


  • Ensure that volunteers have appropriate and update to date DBS checks.


  • To manage the volunteer mailbox, responding to all volunteer related enquiries, and to carry out all volunteer related administration.


  • Maintain the volunteer database, ensuring all information is accurate and kept up to date.


  • Develop upon the Employee Volunteering Program in terms of volunteering opportunities and partnerships with organizations.


  • The role will require a degree of flexibility in terms of hours to be covered, and may involve occasional evening or weekend working, for which time off in lieu will be given.


  • In addition, the job holder is required to perform other duties assigned by the line manager from time to time which are commensurate with capability and status.

  • Maintain effective, timely, courteous and professional communications both internally and externally - including telephone, email and face-to-face contact.


  • Liaise with all stakeholders as appropriate to ensure optimum outcomes are achieved for our service users.


  • Ensure all service users are treated with respect, that their human rights and dignity upheld at all times.


  • Ensure that staff always act to promote the interests of older people and uphold the organisation's commitment to promoting equality and diversity and fighting age discrimination.


  • Undertake any necessary training to carry out the job.


  • Act at all times to protect the organisation from any risk of wrongdoing or loss of reputation.


  • Be willing to undertake responsibility for exceptional tasks from time to time.


  • To participate in Age UK Hull's fundraising, promotional and social events, working with other members of staff and volunteers.


  • Undertake other duties as required by the Services Manager/Chief Executive.
