Full Job Description

Providing an administrative and customer focused service to all team members, including Trustees, CEO and the Senior Management and Leadership team in relation to people services. The role will include a wide variety of administration in relation to:

  • Recruitment and Selection

  • Induction and On-Boarding

  • Training and Development

  • Employee Relations Support

  • Off Boarding

  • Organisational

  • General People Services Administration


  • Specific responsibilities

    Recruitment and Selection:
  • Provide support to management for all recruitment campaigns

  • Manage the ATS system and provide a responsive service to all applicants

  • Keep all recruitment records GDPR compliant.

  • Update recruitment documents accordingly

  • Assist with interviewing when necessary


  • Induction and on boarding:
  • Support the planning and on-boarding induction training for all new team members

  • Manage the full on-boarding process by preparing offer letters, contracts, reference requests, security checks, right to work checks and any other new starter paperwork

  • Liaise with teams to ensure all new starters are set up on systems.

  • Keep all people files and records up to date and secure.

  • Create internal announcements to keep all teams up to date with new starters


  • Training and Development:
  • Support the training needs of team members

  • Ensure all training records are updated and stored centrally

  • Support the delivery of training with team members on new policy, processes, or technology

  • Assist with the organising of outsourced training, premises, and lunch provisions


  • Off Boarding:
  • Support the leaver process for team members, ensuring announcements are made in a timely manner, resignation acknowledgement letters are sent and exit interviews are completed


  • Employee Relations:
  • Support the administration of sickness recording using Human Resources Information Systems

  • Advise managers on the rates of sickness within their teams monthly & support them with absence and performance reviews

  • Prepare letters relating to ER issues as and when required.

  • Undertake minute taker duties during meetings as and when required.

  • Monitor and administer security renewal checks for existing team members

  • Provide note taking support as and when required


  • Organisational:
  • Assist with policy review & update policies as and when they need to be updated e.g. in-line with statutory rights & organisational changes


  • General administration:
  • Develop and maintain administration processes and systems for People Services

  • Collate and maintain organisational records, maintaining confidentiality and GDPR at all times

  • Ensure all paperwork and forms are updated when needed

  • Provide support and cover for the duties of other people services functions in periods of absence

  • Process invoices and update the PO book for people services related expenditure

  • Support with any external audits

  • Work on any designated projects allocated to you


  • Other:
  • Demonstrate and promote the organisation's ethos, vision and values

  • Keep abreast of regulation changes within people related topics, attend training, develop networks to support development in the role

  • Contribute to the protection and enhancement of the organisation's reputation

  • Participate in team meetings, supervision and appropriate training

  • Work within the Organisation's Policies and Procedures

  • Carry out any other reasonable duties as required as requested by your line manager


  • It may be necessary, following consultation, to amend the job description in light of experience and changing circumstance

    A current valid driving licence, access to a car and insurance covering business use is essential

  • Hours: 25 per week, days negotiable

  • Salary: £22,500 per annum, rising to £23,000 after successful completion of a 6-month probationary period (pro-rated)

  • Contract: Permanent


  • You can work from any Cyfannol Women's Aid space, your home or community locations in order to meet the requirements of your role.

    This role is to be worked between Monday - Friday however, there is flexibility on the start and finish times.

    All team members must work flexibly to meet the needs of the organisation.
