Full Job Description

  • Greeting and directing patients

  • Effective use of the appointment system

  • Booking appointments

  • Processing of information and assisting patients as required

  • To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with team members and external agencies such as secondary care and community service providers

  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice

  • Maintaining and monitoring the practice appointment system

  • Process personal, telephone and e-requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional

  • Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

  • Signpost patients to the correct service

  • Ensure that patients with no prior appointment, but who need urgent consultation are seen and assessed by a member of the clinical team according to Practice procedures

  • Initiating contact with and responding to, requests from patients, team members and external agencies

  • Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover

  • Providing clerical assistance to Practice staff as required from time to time, including filing, photocopying, and scanning

  • Processing and distributing incoming (and outgoing) mail

  • Receive and make telephone calls as required

  • Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery

  • Enter requests for home visits into the clinical system, ensuring careful recording of all relevant details and where necessary refer to the Duty Doctor

  • Data entry of new and temporary registrations and relevant patient information as required

  • Input data into the patient's healthcare records as necessary.

  • Direct requests for information i.e., SAR, insurance / solicitors' letters and DVLA forms to the administrative team

  • Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts

  • Taking messages and passing on information

  • Processing repeat prescription requests in accordance with Practice guidelines

  • Manage all queries as necessary in an efficient manner

  • Maintain a clean, tidy, effective working area at all times

  • Keeping the reception area, noticeboards and leaflet dispensers tidy and free from obstructions and clutter

  • Support all clinical staff with general tasks as requested

  • Provision of refreshments for staff and visitors as required and keeping the kitchen area clean and tidy


  • The training you will be getting

  • Business Administration Level 3 apprenticeship qualification

  • Training in the workplace provided by PMA Ltd

  • Functional skills maths and English, if required


  • You will have on the job training within the organisation and have an assigned assessor who will provide you with additional training sessions and assessments to gain the business administrator qualification.

    Mandatory Training will be provided on commencement of employment and during the first 3 months.

    Such as, Fire training, Data Protection, Moving and Handling, Mental Capacity Act, Safeguarding, Equality and Diversity etc.

    Communication skills, Attention to detail, Organisation skills, GCSE or equivalent English (Grade Grade 4/C) Essential

    Kirton Lindsey & Scotter Surgery is a busy friendly GP Practice working across 2 sites (Kirton Lindsey & Scotter) and we aim to provide high quality healthcare to our patient population of around 10600 patients. We have 4 GP Partners, 3 Salaried GPs, 2 Nurse Practitioners, 1 Trainee Advanced Care Practitioner, 4 Practice Nurses, 4 Health Care Assistants, 1 Practice Pharmacist, 1 Business Manager, 1 Operations Manager, 1 Finance Administrator and a team of Receptionists and Admin Staff across the 2 sites. We are an approved training practice and teach GP Registrars, FY2s and Hull & York Medical Students.

    Apprentices are paid for their normal working hours and training that's part of their apprenticeship (usually one day per week).

  • Working week

  • Monday - Friday. Hours will vary between 7.45am - 6.30pm and may change each week dependant on cover required, the Apprentice will therefore need to be flexible., You could reduce your training time, or finish your apprenticeship faster, if you have relevant prior learning or experience.
