Full Job Description

This role will provide a confidential and efficient administrative support to the Professional Education & Development Team. You will need to be organised and able to prioritise the competing demands of a busy team. You should be calm, well-motivated person with a positive and flexible approach to your work and able to adapt to challenging/changing situations., The post holder will be required to work on their own initiative and demonstrate a willingness to help others and be a key member of the team. The incumbent will be expected to be able to prioritise work and meet deadlines in order to fulfil the requirements of the post, liaising with relevant others in order to provide a high quality seamless service. Excellent interpersonal and communication skills are essential with an ability to deal with sensitive and challenging situations. The post holder will be required to utilise a computer for word processing and database management. There will be a requirement for the post holder to travel between trust locations in the Staffordshire, Stoke on-Trent and Shropshire area as well as other locations., 1. Provide customer focused services for the Team including receiving calls and relaying messages.
2. To input student data relating to practice assessors and practice supervisors in line with NMC requirements.
3. To update student information on the system as required and send notifications to clinical teams
4. Maintain spreadsheets and data bases with data as directed by the Education & Development Officer/Clinical Placement Quality Lead / Clinical Training Manager.
5. Create and maintain accurate student case notes ensuring student details are updated as necessary.
6. Take, transcribe and distribute formal minutes following corporate standards, producing and distributing action sheets as necessary. Follow up responses to actions in preparation for follow up meetings.
7. Maintain an effective office support system including filing, photocopying, faxing and scanning.
8. Deal with general enquiries from, internal clinicians and external organisations, in a confidential and sensitive manner. Accurately record any messages and ensure suitable follow up.
9. Maintain electronic diaries for the Team.
10. Provide administration support to the Team including typing of correspondence, ensuring strict confidentiality is maintained at all times.
11. Manage and prioritise own workload in order to meet specific deadlines. Able to work on own initiative with limited supervision.
12. Produce a range of highly confidential good quality documents including typing of letters, memoranda etc., also composing correspondence where required.
13. Input information and correspondence provided from other organisations received by the Team onto the Trust computer system.
14. Maintain Trust/Service databases to meet Health Education England, Local, directorate and Trust targets.
15. Maintain strict confidentiality of information concerning students/staff and sensitive Trust business at all times.
16. To be responsible for the safety and security of own computer equipment i.e., emails, word documents etc.
17. To work in conjunction with other administrators to ensure adequate office cover within the service and cover during periods of annual leave, sickness, etc.
18. To implement any administrative policies and changes to working practices that may be required and as agreed.
19. Undertakes surveys, audits relevant to own role.
20. Orders and maintains office supplies and stationery.
21. To receive students, staff and visitors in a friendly and courteous manner, enhancing the reputation of the team and its services.
22. At all times to act in a manner that promotes the safety and well-being of student's and fellow team members.
23. Work within clear guidelines and processes but will have autonomy to plan and prioritise own workload and act independently.
24. Maintain concentration when producing reports to a high standard and accurately inputting data.
25. Demonstrate an understanding of the importance of effective team working within a diverse team. Have the ability to adapt and use initiative as the need arises.
26. Combination of sitting, standing and walking; use of VDU equipment for the majority of the day.
27. Exposure to frequent interruption to routine - relating to telephone calls, requests and demands.
28. Frequent concentration required; work pattern may be unpredictable.
29. Occasional exposure to emotional or distressing circumstances.
30. Undertake training as required for this post.
31. To undertake such other duties as may be required of the post.
32. Assist in maintaining own and others health, safety and security and help to maintain a clean and safe area in which to work.
